Problems with guests, WhatsApp, or RSVP

Updated 17 Oct 2026

Solutions for the most common problems in the Guest list: failed imports, guests you can't find, closed RSVPs, blank names or links in messages, guests who switched phones, and guests still marked Not opened yet.

Excel import failed

Cause

  • The file isn't .xlsx, or it's larger than 5 MB. The message "The file must be .xlsx. Save .xls or .csv files as .xlsx first." or "The file is larger than 5 MB. Split it into smaller files and import them one by one." appears.
  • The file is empty, or the Name column wasn't found because the column titles don't match.
  • Some rows are skipped. The dialog says "N rows will be skipped" with the reason for each row.

Solution

  1. In the Guest list, click Import Excel.
  2. Click Download template, then fill in your guest data in that template file, one guest per row.
  3. Upload the .xlsx file. If your file is .xls or .csv, save it as .xlsx first.
  4. Read the list of skipped rows and the Worth checking notes. A WhatsApp number stored as a number in Excel isn't imported, so set that column to Text format.
  5. Fix the rows in the file, click Choose another file, then upload again. When ready, click Import N guests.

The full steps and the meaning of each message are in Import from Excel.

Guest not found in the list

Cause

  • A filter is still active. Active filters appear as chips under the search field.
  • An old keyword is still in the Search guests field.
  • The guest hasn't been added yet, or wasn't imported successfully.

Solution

  1. Clear the Search guests field.
  2. Click Filter, then click Clear all. If you see "No guest matches this search or filter.", click Clear search & filters.
  3. Search again with a shorter keyword. Search reads name, number, code, and label.
  4. If the guest is still missing, add them with Add guest or Import Excel.

How to add guests is in Add guests and import from Excel.

RSVP is closed for guests

Guests see "Konfirmasi kehadiran sudah ditutup." (attendance confirmation is closed), and the submit button on the RSVP form can't be tapped.

Cause

The RSVP deadline has passed. After that time, guests can no longer confirm attendance. The time is in WIB.

Solution (if you want to reopen RSVP)

  1. Open Invitation settings in the Invitation content editor, then find the RSVP section.
  2. Find RSVP deadline.
  3. Click Remove deadline, or enter a new, later time.
  4. Changes save automatically. Wait until "Saved" appears.

The full steps are in RSVP deadline.

Cause

The WhatsApp message template doesn't include the required variables {guest_name} (guest name) and {invitation_url} (invitation link), or the variables aren't typed exactly as shown. If the template isn't set yet, Send WA shows "The WhatsApp message template is not set yet." with a Set template button.

Solution

  1. Open Invitation settings in the Invitation content editor, WhatsApp message section. Or click Set template in that warning.
  2. Read the message under Message. If you see "Not saved yet. Add these first: …", the variables listed there are missing.
  3. Tap a variable in the Required group to insert it, or click Use the default template.
  4. Changes save automatically.
  5. Test Send WA on one guest, such as your own number added as a guest.

Variables are explained in WhatsApp Template and Message from the template.

Guest switched phones

Cause

Your invitation's access is Single device, so a guest's personal link is locked to the first device that opens it. On the new phone, the guest sees "Undangan ini sudah dibuka di perangkat lain." (this invitation has already been opened on another device).

Solution

  1. In the Guest list, find that guest with Search guests.
  2. Open the ⋯ menu on that guest's row, then select Reset device.
  3. Click Continue in the Are you sure? dialog. "Guest device reset." appears.
  4. Ask the guest to open their personal link again on the new phone.

Reset device only appears if your invitation's access is Single device and that guest has already opened the invitation. For what the guest sees, go to Invitation already opened on another device.

Guest still marked Not opened yet

In the Sent & opened column, that guest says Not opened yet.

Cause

The guest hasn't opened the invitation through their personal link. A visit is recorded for a guest when the opened link contains that guest's code, so a general link without a code, such as one forwarded by someone else, doesn't change this.

Solution

  1. Check that guest's send status. Not sent yet means no send has been recorded.
  2. Check the number in the Contact column. If it's wrong, fix it via the ⋯ menu › Edit guest, then click Save Changes.
  3. Resend with Send WA, or use Copy message for guests without a phone number.
  4. Ask the guest to open the invitation from the link in that message.

To learn how to send invitations, see Send invitations by hand from the Guest list.
